Users and roles
Accounts are invite-only. There is no self sign-up.
Invite a person
Section titled “Invite a person”Admin, Users (or Account, Team members), Invite user.
- Enter the email and display name.
- Tick Account administrator if they should manage the account.
- Add property grants: each property with a role.
- Press Send invitation.
This creates the user and their grants. It does not send an email today. Tell the person to sign in at app.rentametrix.ai with that exact email. Their first sign-in with a verified email links their login to the invite. A different email, or an unverified one, gets “Account not set up”.
Inviting an email that was deactivated earlier reactivates it. Inviting an active member returns “already active”.
The five kinds of access

Global roles (RtmxAdmin, RtmxRep) are Rentametrix staff. They see every account and are always Data Reviewers. They do not see resident data unless they also hold ResidentRead.
The app nav shows Users to account admins and Users & roles to Rentametrix staff. The Roles and Data reviewers tabs are staff-only.
Change what a person can see
Section titled “Change what a person can see”Admin, Users, pick the person. Under Property grants, add or remove a property and set its role, then Save changes. Changes take effect at the next token refresh, within about an hour at most; a new sign-in applies them at once.
Deactivate or remove a person
Section titled “Deactivate or remove a person”- Account, Team members, Deactivate: ends the membership and every property grant. The person’s login still exists and can be reactivated.
- Users, the person, Remove from account: the same, from the user page.
You cannot deactivate yourself or the last account admin. Rentametrix can. Details on timing are in revoking access.
Custom roles
Section titled “Custom roles”Rentametrix staff can create roles with a chosen permission set under Users & roles, Roles. Ask for one if the four built-in property roles do not fit.
What sign-in supports
Section titled “What sign-in supports”One Auth0 login with three ways in: Google, Microsoft, or email and password. Multi-factor authentication is available in the login provider and not enforced today.
