Glossary
Account. Your management company’s space in Rentametrix. Users, properties, keys and data belong to one account.
Account admin. A user who can invite and remove members, set property grants and approve AI keys for the account.
Account key. An AI key your own tools use to read your own data. Compare partner key.
As of. The date a figure describes. Different from observed at, which is when Rentametrix collected it.
Basis. The rule for which leases enter a count: executed only or executed plus pending. Always shown beside a percentage.
Bed. The unit of inventory. Occupancy and prelease count beds, not leases or units.
Blended rate. Sum of lease rates over committed beds. See metrics.
Comp set. The competitor properties you selected for a property. Membership is private to your account; the facts about each competitor are public market data.
Committed. Executed plus pending beds. Not the same as executed, and not proof of a resident in possession.
Concession. A money adjustment on a lease, monthly or one-time.
Corridor (plan band). The tolerance band around the lease-up plan on the pace chart. Context, not a second projection.
Data Reviewer. A per-user role that opens the Review inbox for the markets where the user’s account has properties.
Down bed. A bed temporarily out of service. Stays in the physical bed count; never counts as open.
Executed. A lease fully signed and countersigned by all parties.
Floor plan. A unit configuration at one property, such as a 4x4. The floor plan type (bedroom count) is the cross-property version.
Global admin. Rentametrix staff. Sees every account; always a Data Reviewer. Sees resident data only with ResidentRead.
Grant. What a key may reach: which tool contracts, which capabilities (Read, Export, ResidentRead), which properties, groups or markets.
Lens. One of the four views: Velocity, Market, Money, Records. All four share the scope and season in the address bar.
Live special. A competitor offer seen on its source in the last 7 days.
Market. A geographic area centred on a university.
Morning brief. A scheduled email per property with pace, competitor moves, tracker anomalies and news, each figure with its as-of date.
Net effective rate (NER). Average rate minus monthly concessions per occupied bed.
Origination. How a lease came to exist: New, Renewal or Transfer. A transfer adds no occupancy.
Pace. This season week against the same season week last year.
Partner key. A key a third party uses to read a slice of data. It can never reach resident identity.
Pending. An approved application with the lease generated and awaiting signature. Counts toward prelease, shown apart from executed.
Physical beds. Configured real beds, including down beds, excluding virtual overflow. The denominator for occupancy and prelease.
Pinned comparison. A second scope held in the URL for side-by-side reading on the Market lens.
Portfolio. Every active property you are authorized for in one account.
Prelease. Committed beds for the season being leased, as a share of physical beds.
Projected final. Where the season lands if the trailing velocity holds. The number of record.
Property group. A named set of properties in your account. Membership is resolved live.
Provenance. The source, basis and as-of date carried on a figure.
Public rate. A per-bed asking rate read from a competitor’s own page.
Rate ladder (rate plan, tiers, rungs). The price steps per floor plan per season. A bed below its step was signed under its rung’s rate.
Rentable capacity. Physical beds minus beds marked not leasable. A ceiling for projections, not the occupancy denominator.
ResidentRead. The per-user permission to see resident names, emails and phones in answers. Nothing else grants it, including the global admin role.
Review inbox. The queue where Data Reviewers accept, reject, correct or retire market reads before customers rely on them.
Rolled forward. A rate carried from an earlier read because no newer read exists. Shown in italic.
Scope. What a view covers: a market, a property, a group, a comp set or the portfolio, plus any drill into a floor plan, unit or lease.
Season. The academic year being leased, labelled by its start year (“AY 26-27”). Seasons have configured dates per market; a season still being leased is marked “partial”.
Signing date. The earliest pending or executed event on a lease. It fixes the week the lease enters the curve.
Source. Where a figure came from: the PMS (Entrata or AppFolio), the lease tracker sheet, a public web page, a social post, a survey you imported, or a manual entry.
Special. A promotional offer from a competitor, kept with its advertised terms, scope (property, plan or bedroom class), source page and last-seen date.
Split lease. A unit whose rent is spread across leases with off-ladder per-bed rates while the unit average is on the ladder. Rate metrics use the unit average.
Stale. A read older than its source’s threshold: 7 days for rates and specials, 14 for sources and leasing summaries.
Survey. A dated observation of a property’s leasing figures, with its source and confidence. Your own comp sheet imports as surveys tagged to your account.
Tool contract. One versioned capability an AI tool can call, written id@version. A contract never changes in place.
Tracker. The Google Sheet or Excel file your team keeps. Read on a schedule, never written.
Velocity. Committed beds added per week over a trailing window.
Virtual overflow. Placeholder units holding leases before the PMS assigns real beds. Excluded from inventory; their leases still count as signed.
